Keeping separate claim files for several Southwest Pensacola properties in ZIP 32507
November 5, 2026 · PAJOE Public Adjusters
When the same event damages several properties, open a file for each address before sending documents. Put the policy number, insurer, claim number, owner and mortgage information on the first page. Record when damage was discovered at each property, even if you think the same storm caused all of it. Use folders named by address and put the address in each image and invoice label.
Break out invoices and shared services
Ask contractors to split scope and price by building. If one crew tarps two roofs in a single visit, ask for a written allocation and the work performed at each site. Keep a separate photo set for each address. Assign one person to check that uploads and receipts reach the correct adjuster. Copies can be cross-referenced when an expense affects more than one location.
Compare policy terms one property at a time
Limits, deductibles, ownership and use can differ by property. A rental that loses a tenant and a home that requires temporary lodging raise different questions even when both have roof damage. Keep a summary sheet for deadlines and pending decisions, but ask each insurer to confirm what it needs under the applicable policy.
